Wyeast Board meeting minutes from September 16th, 2009
Present were Karl A, Susan Maginn, Tode O, Alex R, Elizabeth S, and Mark A
Susan suggested we begin with everyone giving everyone else acknowledgements -- positives about one another -- around the table for our work with Wy'east.
Then we had individual check-ins.
The minutes from the August minutes were read over and accepted.
Mark will check with Jill about whether paper copies of old minutes were kept and where.
The August treasurer's report from Karl was presented. We spent $1,000 more than we took in this month, and we are only budgeted to take $1,400 from savings for the whole year. One action item in this regard is that Tode will be following up on unpaid pledges from people who've left the congregation.
Karl reported our bank balance, and this was okayed by the Board.
Karl will be preparing our financial quartely report to the PNWD.
We have renewed our yearly payment to the PNWD library. Wy'east makes good use of this library.
We've agreed to pay our $75 fee to Meminfo for the year; however, Tode will research other databases, to see what options we might have in the future.
Susan reported that Bruce McPherson is advocating for having a Wy'east spiritual retreat at Camp Adams. Part of the purpose of this would be community building. We will be following up on this, as it is seen as a good idea.
A long range planning retreat for the board was scheduled for Saturday, October 10th., at 10:00 AM at Mark's house. Building Susan's hours back up to half-time for the next church year is one of the primary goals.
Elizabeth will create a funding time-line to get Susan's hours back up, possibly with the help of Sue Matranga Watson from Eastrose, at Susan's suggestion.
We discussed having fundraising dinners, with a goal of reaching out beyond Wy'east for people to participate.
Mabel has recently hosted a dinner for new members. Yea Mabel, as always.
Debra is going to facilitate a September 27th after-service single parent group.
Liana is going to be acknowledged by us for carrying a big load by heading up the RE Committee.
Annie Haifley was rear-ended in a car accident. We will acknowledge and support her this Sunday.
There is a free PNWD Webinar coming up on September 27th from 2:00 to 3:00 PM. We are all encouraged to participate.
There will be a children's quilt created for Children's Time, with Janelle, Becky, and Tanya in the lead.
We will work on a service to coordinate with National Coming Out Day next year. The Community of Welcoming Congregations will be contacted on this.
We are aiming toward only having a bimonthly newsletter, starting with this Nov./Dec.
There is a volunteer opprtunity to work at the new First Church day program connected with the Goose Hollow Family Shelter. Susan will request that Wy'east get recognized for this in the First Church newsletter if we have members who participate.
The ministerial evaluation for last year is due at the UUA by October 15th. This will be coordinated by Elizabeth, who will email the forms to the board members. Barbara and Jill will be included.
Linda Jo's check for $160 for reimbursement for Wy'east expense for her music training will be cashed. We will also have a board-signed letter to Linda Jo written by Alex, and an acknowledgement card from the congregation.
Elizabeth might be able to use the piano currently stored at Linda's Jo. Tode will look at picking this up.
Our Special Collection in October will be for the UUA Association Sunday.
Karl might do a newsletter article and an after-service circle about the climate change workshop he went to sponsored by EMO.
We will look into updating the Wy'east website at our next meeting. Also, fundraising.
Alex is looking into the cheapest way for us to have phone service.
