  • Meeting Minutes-review for 8/4/20 Board Meeting: Approved
  • Standard Reports:
    • Minister’s Report
      • Craig is glad to be back in the pulpit.
      • He has been keeping up with writing, calls, zoom meetings, studies, etc. through these changing times.
      • The Kentucky UU group working on revising the UU source language continues to make progress.
      • His friend is now director of mental health for Kaiser Permanente  in our area and perhaps could speak at Wy’east. 
    • Worship Committee Report
      • They have been discussing a survey to the congregation about thoughts on online worship
      • New prospective member attended: Hank
      • They have been getting ready for water communion and encouraging members to complete their form.
    • Social Justice Committee Report 
      • There has been a lot of willingness to help and success in getting theme speakers lined up for the year.
      • Craig will be doing a sermon on March 7th in support of the Native American theme.
    • RE Committee Report
      • There have been several videos submitted by Kate and other volunteers to a Youtube channel for the children. 
      • We’re reaching more children, including the Lileholm brothers.
    • Treasurer’s Report
      • Pledge income was up since August. The income and expenses for September were very close to expected, so we’re just a little down for the year.
      • Since there’s no indication that the fed/state government will be providing stimulus money soon, perhaps we should go ahead  and update people on their pledges. The timing lines up well with the start of the church year.
      • Jocelyn renewed the mailbox.
      • Still thinking about possible members for a finance committee. Jocelyn will talk to Ron and the nominating committee for support on that.
      • Square is somewhat difficult to work with as far as keeping the interface the way we want it, so Jocelyn is considering an alternative.
      • Revising the website with a donation page could include text to encourage people to send checks instead of online donations, which deduct a fee.
    • Membership Committee Report *** see below
      • Monthly meal donations to Lilac Meadows continue
      • Game night over Zoom was successful
      • Chalice circles and phone tree are continuing
      • There was a new membership class offered, but no attendees.
      • Attendance at Sunday services typically around 45
  • Digital Wy’east
    • Paid Position Virtual Tech Role ***see below
      • Linda M feels we have tapped out our volunteers and encourages us to hire a tech support person.
        • We still have ideas to reach out for additional volunteers.
      • It may be hard to hire and retain someone for only a few hours a week on a Sunday.
      • There are other potential solutions to the problem this is trying to solve, including collaborating with other churches. We don’t have to choose one or the other.
      • We could look for someone involved in the UU community to hire. They don’t necessarily have to be local.
      • Financially, we can make a case for it. We could look at it as digital rent, as we are saving money on physical rent.
      • Lana has reached out to our cluster congregations and received encouraging positive responses from other churches to collaborate. She has volunteered to attend the next cluster meeting.
        • The cluster refers to 7-9 Mt. Hood area UU churches who have representatives at monthly meetings.
      • We support hiring someone. We recommend a small interview committee with a board representative. Craig volunteers to attend.
      • Motion to approve searching for a Virtual Tech hire: Approved.
  • Building Visit w/ Craig
    • There was a visit to an available building, toying with the idea of buying a space of our own.
    • Good space for services, but no space for RE.
    • It’s interesting to consider having our own building. There could be a lot of spaces coming available due to the pandemic. Would we like to have a team ready to look?

MEMBERSHIP COMMITTEE NOTES

Linda Burk organized a Chili dinner for our Lilac Meadows August 9th monthly meal donation and Linda B.and Diane I. gathered and delivered all of the food.

Chandra organized a Zoom Yatzee game which was a lot of fun and 5 members played. I believe Chandra may consider doing Yatzee or another game sometime in the near future.

The Chalice Circle is continuing to meet twice a month on Wednesdays and as I have been taking the Summer off I haven't been participating but I have seen the emails and it appears to be going well.

D'On's Friday Zoom coffee hour continues to be well attended and everyone is participating in the discussions and the group seems healthy.

On August 16th some members of the Membership committee joined with other members in presenting the 100th anniversary celebration of Women's right to Vote ! That was a wonderful educational experience.

On August 23rd we offered our monthly Path to Membership class but no visitors chose to participate. Craig and I were the only ones attending.

On visitor tracking we have had two visitors that recently filled out the visitor form (Allie Bright & Kathleen O'Day) and they had both indicated that they were looking for a church so I invited them to the latest Path to Membership meeting but they didn't attend. Kathleen attended the August 30th service and I'll be watching for both of them. I have added all of our visitors to our weekly email that have requested  this. Also Mary Pleier attended the service on 8/23 but I didn't get any contact information from her and other members said she was a former member. I'll certainly keep a lookout for her also.

Attendance varies from 33-50 but usually runs about 45.

The members on our telephone call check in group continue to do their good work and help keep the congregation connected and certainly report any needs that need to be addressed.
 

 

Wy’east UU Tech Support

Virtual Worship Tech Support

Provide Zoom Meeting Technical Support for a virtual worship service every Sunday.  Hours would be 9:30-12:00 PST.  Compensation would be $15-$20/hour ($37.50- $50/Sunday) DOE as a contract position.  This position does not offer any benefits.

The successful candidate for this position would demonstrate strong attention to detail, a history of reliability of attendance and punctuality.  The technical skills and equipment required for this position include:

  • Desktop or laptop computer (ideally with a second monitor)
  • Strong and reliable internet connection
  • Strong understanding of the Zoom Platform
  • Knowledge of the Google Suite including Google Slides
  • Familiarity with navigation between Windows
  • Familiarity with managing sound files

Responsibilities

  1. Act as meeting host
  2. Assign co-hosts (chat host, service coordinator & greeter)
  3. Open meeting for sound check at 9:30
  4. Create breakout rooms
    1. For meet and greet during the service
    2. For social hour after the service
  5. Record sermon and send the file to the Congregation
  6. Display slideshows with readings & hymns (includes sharing/playing hymn recordings)
  7. Display Announcements (with background sound pre-service & w/o post-service)
  8. Mute people during service as needed
  9. Provide meeting security in the event of an unwelcome guest.
  10. Turn meeting over to a designated host if it runs beyond 12:00.
