Convene

Meeting began at 7:27 PM, Tode, Liana, Hank, Karl, Dan and Marcia in attendance.

Website update

  • New Web site is live
  • Training meeting set for October 17th, after service
  • Rule approved for 2 people to proof updating/adding majority of the content added to site
  • Written sermons to be added to sermon section on the new website

Minutes were approved.

Rally

Liana and Mark made signs for the rally planned by the Albina Ministerial Alliance (AMA) Coalition for Justice and Police Reform.

Minister’s Report

There are 7 potential new members who are interested in the “Path to Membership” class
There are two sections: Introduction to Unitarian Universalism; Wy’east origins and history

Add in suggested ways to help, committees needing members, etc. to the new member classes

Marcia is getting oriented and gathering information and is interested in any information about procedures that are new to Wy’east in the last few years to help her transition.

Working with the worship committee to rearrange the order of service to keep the depth of the service.  Moving announcements to the beginning of the service and deepening the meaning of “Joys and Sorrows”. 

Marcia was pleased with how the receiving line went with the prior service and wants to make that our new tradition, at least when she is preaching.

Marcia will be attending the UUMA continuing education session in February.

Wedding Authorization Motion for Marcia

The Board has authorized Marcia to perform weddings on behalf of  Wy’east

RE Teacher

Rose has joined the RE program as our new teacher.

Treasurer’s Report

Karl prepared July and August reports.

July starts the new fiscal year. Expenses were normal, pledge collection was up for the month.

August was a good month, people are paying their pledges in advance. 16.6% into the year, 13.2% of the income has been collected. Paid last full phone bill.

Ecumenical Ministries

We received an invoice for $200 for our membership. It is not in the budget for this year.

Event: "Who is our neighbor?"

Thursday November 18th. Event may be of interest to our Social Justice committee, Tode will forward the information to Mark

Community of Welcoming Congregations

Invoice for $100 received, not in this year’s budget. Last year we had a special collection to pay for our membership. 

Motion passed to resolve to pay both invoices to cover the invoices for both Ecumenical Ministries and Community of Welcoming Congregations.

Board Member Bio

Picture and short bio for each board member added to the bulletin board on a cycle to provide more information to the congregation.

Phone Update

Alex has given Karl the new phone and Karl has it set up and ready. 

Betty volunteered to have the phone in the office and check the messages on a weekly basis.

Karl will create an outgoing message telling the listener that the phone is checked weekly and directing people to visit the website. There is a paragraph on the Web site that may be useful as a script. Karl will bring the phone to Betty next Sunday.

WeeWorks Usage

There will be no need to extend use of WeeWorks for all Sundays, there will be more intergenerational services.

Small Groups

The first meeting of each group will organize a structure of when the group will meet and how they will facilitate the meeting, rotating leaders, subject matter, etc. Organizers were given some guidelines on organizing the groups. Asking attendees to commit to at least five sessions of the group.

  4. Seniors - Carol organizing first meeting
  5. Crafts - Robin organizing first meeting
  6. Social Justice - Mark organizing first meeting
  7. Women - Laura organizing first meeting
  8. Parenting - Debra organizing first meeting

Chalice Circle - Our Place In The Community

A chalice meeting centered around the topic “Our Place In The Community” has been scheduled for January 16th, 2011.

Action Items

  • Need a volunteer to edit the service recordings so they can be posted to the website
  • Board needs to provide a member for the Ministerial Board
  • Vancouver Newsletter: we will offer to put a link on our Web site, with a reciprocating link back to us.
  • Need to inform Ecumenical Ministries that Marcia is our new minister
  • List special collections and links to organizations on the website
  • List small groups and schedule on the website, bulletin board and email
  • Karl will bring phone with outgoing message setup to Betty
  • Tode will work on procedures for Sunday close up of the Senior Center
